Importing orders is one of the fastest ways to bring in large batches of shipments for fulfillment.
This guide explains which fields are required, what each means, and how to use the official import template.


🧩 Option 1: Use the Official Extensiv Order Import Template

Download the latest template:

This file contains 35 columns, but you don’t need to fill them all in.
Only a small number of fields are required for the import to succeed.


✅ Required Fields (Minimum for a Valid Order)

Field Name Description Example
Customer Name The customer (your 3PL client) the order belongs to. Must match exactly in your account. ABC Electronics
Facility Name The warehouse / facility where the order will ship from. Los Angeles DC
Reference Num Your internal or external order reference. Must be unique. WEB-12345
Ship To Company Name Company name for the delivery address. Target Stores
Ship To Name Contact name for delivery. John Doe
Ship To Address 1 Street address. 222 N PCH Hwy
Ship To City City name. Redondo Beach
Ship To State State abbreviation. CA
Ship To Zip ZIP or postal code. 90277
Ship To Country Country code (2-letter). US
SKU Product SKU (must exist in your inventory). B163500708

Field Name Purpose
Ship To Phone Number Helps with parcel carriers and delivery notifications
Ship To Email Address Useful for shipment confirmations
Carrier / Mode / Billing Code If provided, auto-assigns routing info

If you’re uploading orders programmatically using the Extensiv API (for example, via /importOrdersFromCsv), the minimum required data is the same as above but in JSON or CSV field format:

⚠️ Common Errors and Fixes

Error Message Cause How to Fix
Customer not found Customer name doesn’t match your Extensiv account. Double-check spelling/capitalization.
Facility not found Invalid or missing Facility Name. Use the exact facility name.
Duplicate Reference Number The same Reference Num already exists. Use a unique order number.
No items on order SKU or Qty missing. Add at least one SKU with quantity.
